Kraken Academy: How to Build a Webinar Funnel

A webinar funnel helps you collect registrations, send reminders, deliver your webinar, and follow up with attendees automatically. This guide walks you through how to build a simple webinar funnel inside HighLevel.

Step 1: Choose Your Webinar Type

You have two options:

  • Live Webinar, Use this when hosting at a specific date and time.

  • On-Demand Webinar, Use this for a pre-recorded webinar that people can watch anytime.

Step 2: Create a New Webinar Funnel

  • Go to: Sites → Webinars → New Webinar Funnel

  • Select: Live Webinar OR On-Demand Webinar

Step 3: Add Webinar Details

  • For Live Webinars:

    • Webinar name

    • Timezone

    • Date

    • Time

  • For On-Demand Webinars:

    • Webinar name only

Step 4: Set Up Your Registration Form

  • Choose or create a form under: Sites → Forms

  • Recommended fields:

    • First Name

    • Last Name

    • Email

    • Phone Number

  • This form will capture leads and push them into your CRM.

Step 5: Add Your Webinar Content

  • For Live Webinars:

    • Add your webinar link (Zoom, YouTube Live, etc.)

  • For On-Demand Webinars:

    • Upload or select your pre-recorded video

Step 6: Choose a Funnel Template

  • Select a pre-built template to speed things up.

  • Typical pages include:

    1. Registration page

    2. Confirmation page

    3. Webinar page

  • Customize the design, copy, and branding as needed.

Step 7: Review the Automation

  • Each webinar funnel includes automation (workflows).

  • Typical sequence:

    1. Registration confirmation

    2. Reminder emails/SMS

    3. Day-of reminders

    4. Thank-you message

    5. Replay email

    6. Follow-up nurture sequence

  • Recommended reminder timing:

    • 24 hours before

    • 1 hour before

    • 10 minutes before

Step 8: Test Your Funnel

  • Before launching, test everything:

    1. Submit the form

    2. Confirm contact is created in CRM

    3. Check emails/texts are sent

    4. Verify webinar link or video works

    5. Test on desktop and mobile
